The Students tab shows everyone enrolled in the cohort. From there you can invite new students (one at a time or in bulk) and transfer a student to another cohort.

Where to find students

  1. Go to Program Dashboard → Cohorts and open the cohort.
  2. Click the Students tab.
You’ll see a list of enrolled students (name, email, and other details depending on the app). You can search or filter the list.

Inviting students

If your organization uses invites, you can send enrollment invites so the student can complete signup and join the cohort.
  • Single invite — Use Invite student to invite one student (enter email, optionally name, and send).
  • Bulk invite — Use Invite students or Bulk invite to add multiple students from a CSV upload. Each receives an invite link. Until they accept, they may appear as “Pending invites” on the Overview tab or in the Students area.
After the student accepts the invite and completes any required steps, they become an enrolled student and show in the Students list.

Charging tuition at invite time

When you invite a student, you can choose whether FirstRespondersHub bills them for tuition or whether you collect payment another way. This avoids the extra step of opening the student’s Financial tab to create an invoice manually after they accept.

Single invite

  1. Go to Program Dashboard → Cohorts, open the cohort, and click the Students tab.
  2. Click Invite student.
  3. Enter the student’s email (and optionally their name).
  4. Toggle Charge tuition on if you want FRH to bill them.
  5. The amount field appears, prefilled with this program’s tuition. Override it for this student if needed (partial scholarships, prorated transfers, one-off discounts).
  6. Click Send invite.
The success dialog confirms with Student invited and shows the invite link. You can copy and paste it into a text or DM if you’d rather not rely on email delivery.

Bulk invite (CSV)

When you upload a CSV of students, the review screen has a Charge tuition to all invited students toggle. One amount applies to everyone in the upload.

What the student sees

  • If charging is on: The invitation email tells them upfront — e.g. “After accepting, you’ll have an open invoice for $985.00 waiting in your student dashboard.” When they accept and land in their dashboard, the invoice is already there with a working Pay now button. They can pay immediately or come back later.
  • If charging is off: The email reads the same way it always did and they’re enrolled with a $0 balance. Same as before.

Tuition column on pending invites

The invitations table on the cohort page has a Tuition column so you can see at a glance who’s being charged through FRH and who’s being marked paid externally.

Defaults and rules

  • Default amount comes from the program’s tuition, so for the common case (charging the standard tuition) it’s a one-click toggle.
  • Due date is automatic — it uses the program’s existing payment-config rules (typically a few days before the cohort starts), the same rule FRH already uses when you raise a balance from the Financial tab. See Payment configurations.
  • You can still bill them later instead. If you forget to charge at invite time or change your mind, the Financial tab on the student’s profile works exactly as before — open it, raise their balance, and an invoice will be created. See Invoices and balances.
  • The share link still works the same. If a student loses the email, copy the share link from the success dialog or from the pending-invites table and resend it any way you like.

Pending invites

Invites that haven’t been accepted yet may be shown in the Overview tab under “Pending invites” or in the Students tab. You can resend an invite or remove it if the person is no longer expected to enroll.

Resend an invite manually

  1. Go to Program Dashboard → Cohorts and open the cohort.
  2. Open the Students tab.
  3. In the Pending invites section, find the invite you want to resend.
  4. Click Resend (or the resend action) for that invite. The student will receive the invite email again with the same link.

Automatic reminders

If a student doesn’t accept the invite, the platform sends reminder emails automatically: the first reminder 2 days after the initial invite, then at least 2 days between any further reminders, up to 10 reminders per invite. You can still resend an invite manually from the pending list if you want; for routine follow-up, the automatic reminders mean you don’t have to.

Transferring a student to another cohort

If a student should move to a different cohort (e.g. different start date or location), use Transfer (or the equivalent) for that student. You choose the destination cohort and confirm. The student’s enrollment moves to the new cohort; they lose access to the old cohort’s schedule and materials and gain access to the new one. Any history (e.g. payments, outcomes) is handled according to the app’s rules—check the transfer flow for details.
